My main role is being the lead admin person for the yearly National Epidemiology Survey our service participates in. Every year the survey covers a different group of the population, e.g. five year old children in schools or adults in a general dental practice. My first job is to randomly sample at least 20 settings from 4 local authorities, I then contact each setting, build a rapport and liaise with them, ask them if they wish to participate, book a day for my team to visit, randomly sample participants, collate findings on multiple excel spreadsheets and upload data onto the Access Database. This involves regularly chasing settings to respond, and sampling new settings to replace those that decline. Before the survey starts I also have to book my team onto various training days depending on their role, accommodating their working days and annual leave. I have also stepped in to cover staff shortages, and helped the Dentist record the data onsite at the settings.
Organising our quarterly staff meetings. It was my team's job to book the meeting rooms in advance, prepare meeting documents such as agenda, action log, previous minutes and attendance sheets, collate updates from certain staff members, take hand written minutes during the meeting while assisting the chair with any issues, type up minutes electronically and then distributing them to staff. Since the Covid-19 pandemic staff meetings are now carried out virtually so the organisation process has changed, however I still create the action log, take minutes and then type up these minutes after the meeting.

I occasionally cover the reception desk, taking phone calls, handling patient appointments via our electronic booking system R4 (very recently changed from R4 to Sensei Cloud), and making a good impression as the patient's first point of contact.
I help staff with different tasks, e.g. chasing orders/clarifying order queries, inputting finance information onto Oracle after the clinic cash has been banked, checking stock information for all of our 9 clinics and sending off a weekly staff agency return to finance. The PA to our divisional director had left, so for quite a few months, I collated the agency staff and bank staff information for all of MK Community Health Services, until a new PA was hired.
Support the Clinical Director, Assistant Clinical Director and Operational Managers with any tasks they request.

My team and I are always trying to find ways to improve office procedures. Most recently we have really been aiming for less paper in the office to save space, e.g. scanning personal files of staff who have left instead of having many cupboards filled with folders.

Each day consisted of serving customers at the front of the shop on the till, which includes making hot drinks, heating up food, serving sweet and savoury foods, stocking up the food counter, cleaning around the shop, handling complaints and enquiries and cooking pastries.
I brought excellent customer service to every customer I served, such as service with a smile and engaging in conversation with them, as the customer is always the first priority. I have been able to remember product knowledge and have assisted in the training of a fellow colleague.
A key part was trying to encourage customers to purchase deals instead of just one item.
I worked happily in a team with my colleagues, and I was also able to work efficiently on my own when required.

My work experience was 2 weeks long, and during this time I met so many different people who were supported by this service.

Visited various care homes and got to know the residents
Visited service users in their work place to monitor their work and well being, ensuring I was always available if they needed my help with anything.
My favourite memory was working in a kitchen with a group of people who all had different learning disabilities, having them teach me what they did, and building a rapport with them.

Every Friday I would deliver around 100 catalogues to the houses in my local area, and every Sunday I had to go back to the houses and collect the catalogues. If anybody had made an order in the catalogue I would inform my coordinator, who would then get the items ready for me to deliver them.
I brought excellent customer service to each customer and was successful in selling products.
This job involved a lot of organisation as I had to prep my magazines with their order forms, keep track of the houses I had been to and I had to keep track of the houses which did not want my service. I also had a chance to develop my social skills as the job involved a lot of interacting with customers throughout the day.
