SUPPORTING STATEMENT

  • I am currently working as 'Undergraduate Programme Coordinator (UPC)' in Medical Education, on secondment from Research & Development (R&D), where I was the 'Information & Finance Coordinator'. I have worked for Torbay and South Devon NHS Foundation Trust (TSDFT) in an administrative capacity for over 3 years, and I feel that the having been in the UPC role for the last 18 months, I feel that I could continue to excel in this position whilst always refining my skills and coming up with ways to improve.
  • I have achieved a good level of education needed for this role, obtaining strong GCSE grades in maths, english and information technology.
  • Having previously worked for Torbay Council as a Desktop Support Technician (DST), I completed my ECDL, demonstrating my ability to use Microsoft Office applications. I am a proficient typist and completed an award to demonstrate my skill set. I have the capability to get up to speed on new software packages with relative ease. This was of particular importance when working on the NHS IT Service Desk at the Royal Devon & Exeter Hospital, with over 100 actively running systems at the time, many of which I had to be technically capable of using and understanding to help the end-users who contacted us with any software issues or queries.
  • During my time at TSDFT, I have joined the bank where I did my training in IHCs to open any opportunities to work in departments that use this system. I am also looking forward to the Epic EPR roll-out and learning these new systems if required for any job role.
  • Excel is an important software package that I use daily. In my previous finance role, my primary job function required me to maintain financial balance. Where the main R&D department EDGE system produced reports, I could then adjust any data required to ensure funds were correctly allocated to the specific hospital department or individual who carried out those activities.
  • During my time working in the undergraduate team, I created an attendance system using Microsoft Forms that linked to a spreadsheet for the monitoring of student absences, which was utilised by all students and staff from the University of Plymouth and the collaborative medical education partner at Somerset NHS Trust.
  • Microsoft Teams is a software package that I use daily for meetings, online discussions and file storage. Feedback is of particular importance to our department, and I monitor a spreadsheet saved on MS Teams which stores feedback from anyone who uses the link that is included in our email signatures and action any comments if required, all of which are anonymous for privacy.
  • I am a good team player and appreciate the benefits of teamwork, such as the sharing of knowledge and skills. I can also work well autonomously with little or no supervision required. As part of the learning process I always acknowledge when I need help on occasion by consulting with my colleagues, managers, or other professionals as required.
  • As with previous positions I have held, most require me to have the ability to multitask, which I excel at. Within R&D, this can mean having to set up finances for new studies while also having to liaise with nurses/clinicians about how to allocate costs correctly. In medical education, I help support medical students from the local universities, frequently having to handle enquiries from them alongside carrying out other job responsibilities such as attendance monitoring and ensuring clinical teaching goes ahead with no issues.
  • In addition to my main job role, I do bank work in the oncology department, assisting the medical secretaries with their patient note filing to allow them to concentrate on their other duties, which I find very rewarding.
  • During my time working in medical education, I have assisted with interviews, meeting candidates, obtaining necessary identification documents, and setting up practical tests for them to complete as part of the interview process. I’ve also helped the University of Plymouth interview prospective medical students, asking questions and logging candidates’ answers.
  • My current role working in the undergraduate team requires me to have excellent communication skills to work closely with departments and clinicians in the hospital to allow the medical students to do their clinical placement rotations alongside their academic teaching, which is delivered largely by hospital staff.
  • I have line management responsibilities for the 'Undergraduate Administrator', who undertakes various administrative duties that assist me in my job role. This was a new aspect to learn from previous job roles, and I have completed the trust’s management training, which was interesting and beneficial to me whilst undertaking this function of my current position.
  • I have a calm and empathic nature, which I feel would be particularly helpful in this job role should any staff or patients need support. During any interaction with medical students, I can offer them advice and recognise warning signs, having completed the ‘Mental Health First Aid’ (MHFA) course, signposting them to additional pastoral support if required.
  • Administrative duties that I carry out regularly include organising meetings (reviewing Outlook calendars and distributing invites) and taking and distributing minutes from any meetings. Scanning, printing, and logging information onto various systems or in files. I also book rooms and parking at the Horizon Centre to help facilitate our teaching providers for medical student academic sessions. I have completed Unit 4 training, enabling me to order office supplies through the trust procurement process.
  • An important aspect of my roles whilst at TSDFT is GDPR. In my job role in R&D I was dealing with highly sensitive information regarding drug trials and studies, along with financial information, all of which was confidential, so I had to ensure when sending emails or discussing the trials with individuals that it was appropriate. In medical education, we deal with confidential student information, again only sharing with limited staff. We always ensure we follow TSDFT and university policies to keep this data safe and confidential.
  • During my time working with the educational psychology team at Torbay Council, I regularly had to proofread reports before distribution to providers, parents/carers, or other education professionals. I am very detailed and methodical in everything that I do, which leads to high productivity and accuracy in my work and is something I would bring to any role or department that I support. I am always very committed in my approach to any task, and I will work outside of my core hours to complete it if required, such as consolidating data ready for the next day.
  • In my personal life, I enjoy spending time with my family, cycling, swimming, reading, baking, watching films, and listening to music.
  • I am in no doubt that I would be able to continue to handle this position in the trust along with any additional responsibilities and increased workload or training that would come with it, particularly with future changes to the PMS curriculum changes from 2027 onwards.
