Helpful Operations Assistant delivers constructive staff support through impeccable communication and organisation abilities. Accurate and attentive to achieve tasks to instruction. Responsive and self-motivated for reliable administrative assistance.
- First line support to all people related queries either direct or via central people inbox, providing guidance and resolution directly or signposting.
- Handling of confidential People files and data along with carrying out regular reviews of personnel records to ensure accuracy.
- Ensuring 100% accuracy in HR data, acting as gatekeeper for all job structures e.g benefits by Band.
- Maintain and cleanse HR information system with new starters, changes, upgrades and process adjustments.
- Supporting wider People Team in implementing and embedding new strategies, and initiatives across the organisation.
- Tracking and processing probation review paperwork.
- Production of onboarding documentation (offers and contracts).
- Provide monthly payroll changes to the payroll team ensuring accuracy and appropriate audit trails.
- Managing leaver process from acceptance documents, exit interviews and system off-boarding.
- Supporting HRBPs with absence management (annual leave, sickness, maternity, paternity, parental, shared parental leave, compassionate, jury service etc.).
- Support in monitoring, reviewing & updating all policies in line with legislation and best practice.
- Note taking to support HRBPs with grievance, disciplinary & capability investigations and hearings.
- Production of formal letters as directed by People Partner Team.
- Support with tracking and processing of visa sponsors, including liaising with employees, managers, immigration agents.
- Carrying out right to work checks and ensure the HR system is up to date with relevant documentation.
- Supporting HRBPs with flexible working requests, study support requests, promotions and salary increases etc.
- Issuing employment certificates and dealing with reference requests.
- Supporting with and delivering against the annual people projects e.g annual pay and bonus review.
- Provide ad-hoc reporting when required.
- Administration of departmental invoices/PQs.
