The administrator and ICT Support holds responsibility for the day to day running of the administration and ICT for the Next Steps Nursing and Residential services. As an administrator you will carry out administrative tasks within an organisation and will be often the first point of contact for the company. Your Administration and IT skills will support the management and the care teams in the smooth operations of the company's administration, regulatory compliance, digital workplace governance, operations, and digital technology. You will undertake ICT Technical tasks required in the support, implementation and maintenance of ICT platforms and systems within Next Steps. You will be able to work with colleagues from a variety of backgrounds with an approachable and solution-oriented style; keen to support and drive the development of a positive working culture across the company and able to represent the company in all that you do.
Support the Operations Director and MD to control business priorities through planning and checking on tasks and targets etc, use an electronic calendar to manage diaries and communicate effectively.

Ensure that all enquiries and Individual Service Summaries are logged onto the electronic system by the close of business on a Friday and followed up appropriately.

Communicate with the managers to ensure completion of the Individual Service Summaries. Offer support where necessary and escalate concerns to the Operations Director where these tasks are not being achieved.

Email the weekly and Monthly Individual Service Summaries to the Operations Director and MD. Communicate any issues identified within the individual home summaries.

In conjunction with the Operations Director, assist Home Managers with setting their priority tasks for the coming week, following analysis of the Individual Service Summaries.

To collate payroll information following cut-off date. Communicate the report in the agreed format (Blip Report), in order that the payroll can be processed and approved by the manager. Deliver to the payroll provider and head office all relevant staffing documentation.

To administer the financial systems of the establishment in line with Company financial procedures including purchase ledger functions (orders, invoices, suppliers); the petty cash system (payment vouchers, soldo transactions).

To check supplies and order stocks as required of stationery and ensure that the establishment is properly supplied, and check delivery notes and purchase invoices against these orders - order to be authorised by the Manager.

General administration tasks including photocopying, scanning, secretarial support, looking after stationery, ensuring adequate supplies of documentation (training documentation, administration forms etc).

Managing company correspondence, including phone calls, emails, letters, and packages
•
Organising meetings, scheduling appointments
•
Performing data entry roles, including updating records and databases for personnel, financial and legal information
•
Use every endeavour to promote the home to all external agencies including Social Services, NHS practitioners and members of the public in all day-to-day dealings.

Help to market the home including preparing mailshots to contacts out in the community.

Take the lead on ensuring archiving for individual homes, is effective at year end following the correct procedure.
