1. Identify Overpayment
Overpayment can result from duplicate payments, incorrect insurance adjustments, or patient overpayments.
The provider’s billing system or insurance Explanation of Benefits (EOB) helps identify such cases.
2. Verify the Overpayment
Review the patient’s account and insurance payments to confirm the excess amount.
Check contracts and payer policies to determine if a refund is necessary.
3. Initiate Refund Request
If the overpayment is from insurance, the provider may need to submit a refund request.
If the patient overpaid, the provider’s finance team must validate the refund eligibility.
4. Process the Refund
Refunds are issued via check, credit card reversal, or electronic funds transfer (EFT), depending on how the payment was made.
Documentation of the refund is recorded for compliance and audit purposes.
