Summary

I already have a vast knowledge working within a busy administrative environment and have done for the past 10 years. I have the confidence and ability to communicate in the correct manner with patients /relatives and clients aswell as colleagues whether it be face to face , over the telephone or via email I currently demonstrate these abilities on a daily basis in my current role and previous roles I have held.


I have a good ability to judge and assess various situations and i am able to react in the correct in the correct calm manner enabling me to diffuse potential problems that's may occur. It is not unusual for me to have to deal with awkward characters regarding waiting times/rescheduled appointments as part of my current role.

I am a friendly and approachable member of staff and have a vast experience in administrative duties.


I understand the great importance of confidentiality and I know the protocol I need to carry out in order for this to be done successfully and in a professional manner as i deal with sensitive data daily.


I have a good knowledge of I.T systems previously using ERecord, IFitt casenote tracking, liberty telephone call queue, Outlook, ESR and ALlocate rostering systems I also have a good knowledge of using MS Ecxel, Microsoft 365 and Databases including SharePoint.


In my current role I have proven to work independently in a outreach unit but also as part of a team. I always work to the best of my ability to ensure the job in hand is completed to the best of my knowledge but equally I am not hesitant to ask questions if I feel I need extra support.


I find myself a very reliable and flexible member of staff and I am able to manage and prioritise my work load efficiently in order to meet the deadline of a busy environment. I have extremely good interpersonal skills and have the ability to assess situations to approach them in the right manner.

  • Order office supplies including Uniforms, Stationary, Therapy equipment and resources, I.T equiment including Laptops, Mobile Telephones and other hardware required.
  • Liase with accounts payable to raise Purchase Order numbers to pay Invoices.
  • Took detailed minutes at meetings and circualate to relevant staff members on behalf of the Senior management team.
  • Management of scheduling of meetings/ room bookings and calendar management for senior staff and Therapists.
  • Created email notifications, invitations and agendas for meetings, events and appointments.
  • Received, sorted and distributed incoming mail.
  • Management of the distribution of Annual Leave Entitlement, Recording Annual Leave onto the rostering system as well as manageing staff sickness identifying stage triggers.

  • Save and upload HR documents to indvidual staff records making sure the General Data Protection regulation legislation is adhered to.
  • Act as main contact for internal and external clients via email and mainly Telephone calls. Also act as a main point of contact for other proffesionals referring into the department and relaying Sensitive information to Management.
  • Keep and maintain a live database for the service, recording data from the referrals recieved into the department to provide to management for an overview of capacity.
  • Provided printing, photocopying scanning support to colleagues.
  • Manage busy inboxes appropriatley on a daily basis, and action tasks accrdingly in a timely manner.
  • Liase with Estates to log faults or defects of the building.
  • Create and update Standard Operating Processes for the department when needed or processes change.
  • Use a range of Microsoft applications through Microsoft 365 including Excel, Word and SharePoint.

Within my current role I have gained alot of knowledge regarding data storage with the daily management of online databases and spreadsheet I am able to confidently handle sensitive documents making sure that they are stored in the correct manner in line with the General Data Protection legislation I regulary encypt files and documents and check user level access to ensure there are no breaches Aswell as protection of documents I have shown the understanding of patient/ client information making sure the correct credentials are retrieved before divulging personal information


I have also gained a vast knowledge of using Outlook, managing various inboxes on a daily basis, updating calendars, requesting and arranging meetings regularly and archiving old data from the folders


The role I currently hold I have a huge involvement in Annual Leave, Sickness and Staff Personnel I can confidently calculate Annual Leave Entitlement and use the rostering system to record the absences With this i have learnt to probelm solve as sometimes figures do not always tally up with systems, recording and staff leave cards


I can confidently order from the supplies department of the trust for the department aswell as raising Purchase Orders to be able to raise invoices for non catalog items that may have been purchashed


I am able to effectively prioritise workloads and my time to make sure that I complete my daily and weekly tasks efficiently especially currently working a part time role I like to make sure that tasks are prioritised and not left rolling onto the following week Working Part Time I also communicate to complete weekly handovers to the colleague that works opposite to my shift pattern
