  • Supervise admin staff, act as first point of contact. Provide day to day support and provide feedback, resolve issues and problems identified or raised by clinical colleagues and admin staff.
  • Manage day to day workload and allocate work to admin staff. Ensure work is prioritised and completed on time. Monitor progress against timescales ie to fill theatre lists in date order.
  • Work directly with Consultants to plan and agree theatre lists up to 6 months in advance. This includes planning for annual leave and other Consultant duties outside of the hospital. Update hospital patient management system in timely way to ensure information is available for all areas to access and use (to support patient care).
  • Maintain high standards of accuracy and quality in data entry and record keeping. Use hospital waiting lists to identify and accurately book patient procedures. Ensure work is prioritised and patients procedures booked within 18 week RTT pathway.
  • Monitor and report on RTT 18 week patient pathway. Identify patients outside of agreed standard and determine reasons for delay. To minimise further waiting, work with Consultants and clinical teams to agree patients that can proceed.
  • Report progress and provide weekly figures on 18 week RTT pathways to Senior Manager, Admin Lead and Consultants. This includes total number of patients waiting, patients waiting that are within or outside of 18 week pathway ie waiting at 52 weeks+. In addition provide reasons where procedures can't be booked ie , awaiting funding, patient requires further diagnostic tests. Use hospital waiting lists to identify and prioritise patients that can be listed for surgery.
  • Actively engage and work collaboratively with colleagues across all teams ensure patient care is maintained and pathway timescales are achieved.
  • Develop administration procedures for Bookings Team. In addition, involved in reviewing and updating procedures and protocols that affect multi disciplinary teams ie review of endoscopy booking process. Responsible for implementing business change within Bookings Team, including roll out to staff.
  • Provide information and feedback to patients, admin staff (and clinical staff where appropriate) which can be sensitive, complex, confidential or contentious. This includes admin staff performance related issues, patient cancellations/referral back to GP, business process reviews and reporting of inaccuracies ie as result of inaccurate data processing.
  • Use Word, Excel, Outlook and Powerpoint to produce information and communications including staff training package, feedback from staff forum etc.
  • Develop admin staff training pack for Bookings Team. Full documentation provided including business processes, booking rules, hospital roles. Training plan successfully delivered to staff.
