Veterinary Receptionist
- Booking appointments via telephone and face to face interaction
- Process payments for services and products, maintaining accurate financial records
- Co-ordinate rotas for locum and support staff
- Assist veterinarians with minor procedures when nurses are unavailable
- Provide empathic and compassionate support to distressed pet owners and communicating cremation services where necessary
- Referring patients to specialist care facilities, ensuring records and clinical information is presented in a timely fashion
- Provide statements to clients and manage debt efficiently using both internal procedures and employing external debt management agencies
- Maintain a clean and inviting reception area.
- Answer client queries and concerns with knowledge of pet care.
- Triage emergency appointments by assessing the urgency of each patient
- Ensure that clients have correct medication for their pets and understand post visit requirements.
- Create and maintain effective filing systems, ensuring compliance
- Daily stock management, ensuring a sufficient amount of stock is maintained
- Dispensing medication and ensuring that patients have up to date medication reviews
- Assist with insurance claims, ensuring clients understand the process and providing companies with relevant documentation
- Support the clinical team with treatment room preparation
- Maintain accurate medical records, using Teleos to input, update and monitor patient data.
- Oversee absence for the Reception team, ensuring sufficient cover is in place and monitoring staff annual leave and sickness
- Implemented an effective reminder services for clients to ensuring they receive reminders of appointments, vaccinations and parasitic medication
- Responsible for end of day procedures, ensuring financial records are accurate and cash and receipts are stored safely
- Responsible for open and close of the practice, ensuring the building is locked and alarmed
- Supervise new Reception staff and support locum clinical staff to understand and use systems and procedures
