  • Handle the processes to correctly hire and offer hire fleet vehicles to meet company needs. This includes ensuring livery and van fit out completed in advance of delivery to meet tradesman requirements.
  • Manage vehicle hire log and allocate vehicles to tradesman - DVLA licence checks.
  • Add and remove vehicles from company Dart and Congestion Charge accounts.
  • Lead inductions for new starters outlining policies, obligations and legal requirements of fleet allocation.
  • Add new starters, and remove leavers, from company fleet insurance policy.
  • Liaise with insurer and driver regarding any accidents and dealing with excess payments.
  • Process incoming fleet invoices using File Stream software system ready for the sales and purchase ledger team to process payment.
  • Provide reports on fleet expenses and performance for senior management.
  • Inform drivers of any PCN's in a timely fashion to ensure opportunity to dispute. Manage penalties/deductions spreadsheet and send to payroll team monthly to deduct as appropriate.
  • Complete any Notice of Intended Prosecutions and return to sender.
  • Resolve disputes amongst drivers diplomatically, fostering positive workplace relations.
  • Order and cancel fuel cards.
  • Responsible for fleet AA roadside repair and relay account.
  • Make payments on company credit card and upload details to Concur finance system.
  • Improve fleet efficiency by scheduling MOT, maintenance and repairs with lease hire company to maintain vehicle safety standard.
  • Liaise with driver and Operations team to minimise vehicle down time and temporarily provide vehicle cover from existing fleet.
  • Monitor driving patterns of drivers using FleetCheck, addressing speeding and excessive application of brakes to promote optimal driving. Feedback to management and discussing with individual drivers to proactively improve performance.
  • Facilitate communication between drivers and management, improving team cohesion.
