  • Accounts chasing – contacting clients in order to collect paperwork for their yearly limited accounts, calling them every week for updates on when they can provide us with it.
  • Creating excel sheets with details of companies along with notes; these spreadsheets are made in order of which month the accounts are due.
  • Creating sales day books and purchase day books (SDB and PDB) to document a client or company’s sales, expenses and purchases for the accounts.
  • Monitoring work that is being done by our overseas office or by the juniors, making sure work is completed on time or early.
  • Training new staff or apprentices, training them on our database, files, how to take calls, how I do my role, etc.
  • Credit control – contacting clients for payments or outstanding bills for our services that haven’t been paid, setting up standing orders and creating invoices. This can be done separately or while chasing clients for paperwork.
  • Experience using Microsoft Office (Excel, Word, etc), Freshbooks, Xero, Taxcalc, numerous HMRC websites, etc.
  • Booking in – when paperwork or documents come from clients, I have to book them into our system and store them in numbered/lettered pigeon holes for when they are needed.
  • Taking phone calls and directing them to the staff member they need to speak to or advising them with what they need to do.
  • Booking appointments and meetings.
  • Filing (numbering and filing paperwork in order of what number client they are on our database).
  • Post (Opening the post that arrive for us or our clients as most of them have us as their registered office, then depending on what has arrived we either scan the letter(s) to the client via email or file it away).
  • Greeting and directing clients upon arrival and serving beverages.
  • Keying in/data entry e.g. gather all the paperwork (receipts, purchase/sales/expense invoices, etc) that the client has given us and put them all in month order, then number the receipt or invoice and type the date, description, amount and account into an excel sheet and repeat in ascending order as I go along.
