Accounts Assistant/Purchase Ledger

When I started at CP Media, I was in the Operations team, but assisted the Marketing department with there data cleansing and sending out campaigns. I then moved back into the Operations Department and helped with orders from new clients, sorting artwork out and liaising with our design team. Once approved we would have to get Council approval and then organise to go to print and installation of the campaign. I then assisted the Finance Team as I had started to do my AAT, which worked perfectly and started dealing with order processing and invoicing the clients. I then choose to move into the Finance team permanently and started doing the role of Accounts Assistant/Purchase Ledger, where my role has expanded and consists of:

  • Processing supplier invoices for 3 companies
  • Cross checking PO numbers
  • Bank reconciliation x 5 banks
  • Posting payments - both credits and debits
  • Weekly payments runs
  • Credit Card x4
  • Company expenses
  • Prepayments/Accruals/Journals
  • Monthly month end check for all companies
  • Liaise with suppliers/client
  • Overseeing Credit Control with monthly meetings and helping out
  • Dealing with 4/5 different emails inbox's
  • Payroll for up to 70 people including subcontractors
  • PAYE payments
  • Pensions
  • Part of the Social Committee also, where we organise events every quarter and they range from local gatherings, activity days including farm activities, races, Christmas parties.

Sales & Support Manager

My main responsibilities are:

  • Supervising 2 Sales Administrators and overseeing work, checking quotes, orders, queries, 1:1s etc.
  • Supporting the UK Sales Representative and European Account Manager in assisting customers, dealing with product ordering and providing purchase quotes.
  • Actioning enquires, general orders, concerns, deliveries, faulty items and guidance on products & resets.
  • Data checking of all orders inputted onto SAGE for accuracy e.g. prices, dispatch dates, codes.
  • Creating invoices and producing delivery tickets.
  • Co-ordinating the dispatch team and test department, advising of daily dispatches and requirements.
  • Arranging and co-ordinating pallet stocks, comparing quotes and gathering certificate of origin.
  • Producing weekly and monthly planning reports to track dispatch and delivery dates.
  • Analysing and comparing product reports, e.g. most/least popular products, comparisons of customer purchases vs warranty issues.
  • Checking new and old drawings, using Illustrator, to confirm they can be done and that the details are up to date, including the codes and that they match what has been ordered on SAGE.
  • Dealing with Distributors, direct purchases and engaging with International customers, planning and hosting site visits.
