Within this new role I hold the responsibility of completing, reviewing and signing off payrolls and other workload.


Completing:

  • I still process 3 of our largest payrolls across the UK, Singapore and Dubai. This involves collecting all the relevant data for our complex pay structure in a organised way, easy for the payroll manager to review.
  • I complete and take ownership of submitting the monthly pensions in the UK and Dubai DEWs submission.
  • For all of our payrolls we complete a reconciliation file, this shows the pattern month on month relating to employee costs which is then given to the Finance team. We also use the reconciliation file to ensure the deductions taken to bring the gross pay to net pay is all correct.
  • Calculating and processing P11D forms at the end of the tax year for our employee's and presenting the calculations to the Payroll Manager and Head of Finance


Reviewing:

I now hold the responsibility to review all other payrolls which are completed by our apprentices and provide constructive feedback where necessary. These payrolls are located in the USA, Netherlands, Hong Kong and Australia.


Besides the day to day payroll processing, our other team members will process ad hoc tasks such as leaver calculations and queries from employees. I am responsible of reviewing the calculations ensuring they are correct before sending them to our HR team. I also review email responses going back to employees and provide feedback on how to improve the responses going forward.


Signing off payrolls:

Our payroll provider ADP process and provide the gross to net reports in which we will reconcile based on our own gross pay calculations. Our pay structure is complex so we must ensure all pay elements are processed correct. Therefore, I will review each gross to net for each payroll to ensure the pay matches our internal calculations.


Once I am happy with this, I will sign this off with ADP and then provide further instructions to our Finance team and tell them when payment needs to be made and on which date. This will also include providing any new bank details employee's have sent to us.


Within this role I have also taken on responsibility and leadership in absence of the payroll manager. I will manage payments and approvals, ongoing payrolls and day to day tasks within the team. Since taking this on, I have gained a trusting relationship with senior members of the Finance and HR team who have given feedback I am a trustworthy and reliable employee.
