  • Meeting and greeting patients on reception in a calm friendly manner, checking personal details and directing them into the correct waiting area, often between 85-11+during a reception shift
  • Ensuring medical transport patients are noted and tagged on the system to enable us to contact ambulance services after their appointment
  • Many patients are not English speaking and require interpreters whom we also greet and sign off
  • Informing them of the patient name, whether they have checked in and which area they are seated in
  • Explaining to some patients who are very late that they may not be seen, which at times is both distressing and upsetting for them and their loved ones
  • Trying to keep the patient calm whilst reassuring them that we will try to resolve the situation to best of our ability, unfortunately there have been occasions when more senior colleagues have had to intervene
  • Ensuring patient case notes were available and prepared for clinics
  • Filing information such as referrals from other outside Trusts, Consultants and GP’s, double checking the referral is correct
  • Collecting and tracking patient notes, returning them to secretarial staff, medical records team and other departments on a daily basis
  • Out coming patients via Whiteboard after their appointment and ensuring that coding for various procedures is recorded in order that the patients’ treatment has been thoroughly documented and that the NHS will be paid for those services
  • Whiteboard is a useful tool in allowing us to record what the clinician/nursing staff has requested for the next step of patient care and also acts as a track record in order to disclaim any discrepancies which may arise
  • Carrying out general administration duties: Answering enquires either by telephone, email, letter or face to face
  • Sorting incoming mail, scanning, printing and photocopying of documents, taking and delivering messages
  • Operating and organizing various electronic systems ensuring they are maintained, as well as keeping up to date with any new systems and training accordingly
