Pivotal to the smooth running of the department:

  • Updating daily records and reports including staff attendance, fleet defects, tyres, work trackers, KPI trackers, monitoring geo tracking, fuel consumption and mileage.
  • Extracting data from various online portals to complete the above worksheets and trackers.
  • Creating purchase orders, maintaining the department cost sheet, liaising with payroll regarding invoices, receipts and credit card payments. Collating bi-monthly budget reports and attending the company budget meetings.
  • Building a rapport with the drivers and being a point of contact for issues and queries.
  • Accepting uniform requests, allocating uniform and updating systems for employee usage and stock control.
  • Receipting in new vehicles, adding/removing registrations from multiple toll sites. Arranging fuel cards for new vehicles and allocating new equipment as required.
  • Receive and process PCNs for van fleet and company cars, including difficult conversations with drivers who are responsible for paying fines.
  • Assist with onboarding new employees, attend interviews and take notes. Setting up new phones, ensuring apps downloaded and logged in so they can access all required portals. Providing essential PPE for the training period.
  • Answering the building intercom, greeting visitors, receipting goods in, directing phone calls to the correct departments.
  • Monitor holiday, sickness, zero hours attendance and agency staff.
  • Request, activate, allocate and maintain records of building entry key fobs, liaising with the external IT company.
  • Take electrical readings, ensure essential first aid equipment is available and fit for purpose weekly.
  • Order office supplies and food deliveries for the building.
  • Upload invoices, job sheets, quotes etc to various portals and update the maintenance schedules as required.
  • Monitoring courier usage and assigning costs to reasons for use. Cross departmental communication regarding courier usage and cost saving.
  • Providing basic training and support to newly appointed Line Managers on how to use systems and follow internal processes.
  • Working closely with Line Managers and the Transport Manager to assist them in any way required.
  • Daily use of Teams, Microsoft Office packages and multiple In-house systems such as Syrinx Scheduler.
  • Overseeing the fleet of company cars, logging defects, arranging courtesy cars or end of lease collections, booking MOTs and services.
  • Reporting details of all vehicle accidents to our insurers in a timely fashions ensuring all required paperwork fully completed and submitted.
