Summary

I have over 21 years’ experience in office administration. I am proficient in various Microsoft packages including Outlook, Word, Excel and PowerPoint and also well versed in the use of Lotus/IBM Notes and Google Suite. In addition, I have had experience in using document management sites including BIM360, Sharepoint, Autodesk Construction Cloud, Conject and 4Projects. I also have experience of using bespoke systems and have good technical knowledge and IT proficiency. I am very organised and detail oriented and am used to a very busy workload, managing a variety of tasks at once. I am able to work autonomously and I always approach my work with a very flexible, enthusiastic and ‘can do’ attitude, and I like to assist in any way I can, whether it be part of my normal duties or not, and this is something that I have always been praised for at staff reviews. I am very sociable and able to work well as part of a team and have enjoyed working with colleagues at all levels of the business in the companies have worked with. Being the sole administrator in my most recent role, it was important for me to build relationships with the rest of the team and provide them with the high level of administrative support that they require and expect. I believe I am also able to build good relationships with Clients/visitors/external parties. I have experience of being first point of contact for people either telephoning or coming into the office and, quite often dealing with the same people regularly, I find I am able to build up a good rapport with them.

I have also recently completed ISO 14001 Internal Auditor training.

This role involved supporting the Construction Project Teams predominantly in the production of project documentation such as O&M Manuals. It also involved using NAPIT software to complete Electrical Installation test sheets for projects.

  • I made the decision to leave H&K after just over 10 years due to the long commute the role involved and, having a young daughter who started primary school in August 2024, I decided to take on some temporary roles closer to home, which allowed me to further develop the skills I had built in my career.

  • In my role with H&K, I was sole administrator for an office of 25 engineers and technical staff. My duties cover a wide and varying range of tasks including; providing support to Directors in compiling submission bid documents, administrative support to technical staff in the preparation of reports, specifications, agendas, minutes and various other documents, staff holiday and flexi-time management, organising staff travel arrangements, updating the company’s bespoke project database with new contacts and project information, processing all project e-mails from the central office mailbox, ensuring they are filed correctly and the relevant personnel are notified, setting up VC meetings via Skype/Webex, answering telephones and being first point of contact at Reception for guests entering the office, booking travel and accommodation where required, keeping the H&S database up to date to ensure all staff have necessary PPE and replace/renew this as required, keeping the office Timeware system up to date including processing annual leave, hybrid working, sickness etc and ensuring that the flexi-time system is being used correctly, maintaining the office meeting room booking system and calendar, ordering all office supplies including stationery, furniture etc, completing expenses reports, organising routine and ad hoc jobs for office maintenance, taking part in audits as part of our IMS procedures, along with a variety of other administrative tasks as they arise.
  • This was a very varied role, and I am very adept at prioritising my workload to suit given deadlines and timescales, due to the nature of the business, priorities can change at very short notice and it was extremely important to be able to recognise and manage priorities and tasks.

  • My main role with GRAHAM Construction was to cover the reception of their Edinburgh office, managing a busy switchboard (including cover for other offices switchboards as required) and welcoming guests and Clients to the office, including setting up for meetings and organising catering etc. I was also responsible for providing administrative support to the various divisions of the company, which required me to be highly organised in working for many different departments, some of which were based in the company’s Head Office. Along with other tasks as required, the role also involved the management of the office pool cars, and keeping the meeting room and hot desk booking system for the office up to date and accurate.
