  • Ensure the People staff database is effectively maintained, and that all necessary changes are completed in a timely manner. Responsibility, for System Administration functions within the system, reporting any issues to the Head of People or IS where necessary. Ensure all system processes are fully documented and “how to” guides produced.
  • To maintain, in a timely and accurate manner, the People database and staff files, contributing towards their ongoing enhancement & development. To provide a professional and high quality service to customers.
  • Be responsible for maintaining the organisational structure, position management and vacancy management within the People database as first line System Administrator, liaising with the system provider where necessary. This will include dealing with day to day queries regarding issues that individuals, managers and the People team may be having with the database. Escalate any system related matters to IT.
  • To maintain the People database, in a timely and accurate manner, contributing towards its ongoing enhancement & development.
  • Ensure contract changes, work pattern changes and any other employment related changes are correctly administered and recorded in the People database.
  • Provide answers to queries from staff and managers on matters relating to terms and conditions of employment, recruitment, and learning and development.
  • Ensure an effective oversight of all recruitment related activities, supporting the People Administrators during busy times. This will include ensuring all required paperwork is received for recruitment, interview process, new starter process, onboarding and induction process
  • Design new new starter paperwork to ensure a better accessability to new staff giving them an easier onboarding experience.
  • Processing leavers ,making sure all documents have been received and set on the system ready for Payroll.
  • Be a Designated Signatory for the Disclosure and Barring Service; and ensure that all appropriate documents are accurately provided and completed.
  • Leaded on recruitment, making sure all recruitment processes have been smooth and assisted managers where they need help, suggested ways of recruitment to help them recruit the best person for the role.
  • Assisting People Manger with disaplinaries and grievances, while note taking.
  • Carrying on with updating work patterns.

· Undertaking a data cleansing exercise in line with the project implementation plan, considering all impacts of people, their data and the need for accurate and timely information.
