I have been working in the Credit Union Office since 2018 as Fixed-term staff and since then my responsibilities have progressively evolved.
I am currently responsible for the administration of customer service, HR, procurement, Travels, and website of the unit. On a more technical level, I perform daily bank reconciliations, verify and process CU members' requests in the CU accounting System by issuing different types of vouchers, set up and update members profile in the CU system including changes for payroll actions (for both savings instruction and loan repayments), upload due payments in the Banca Popolare Di Sondrio Internet Banking for approval, monitor and instruct replenishment orders within different bank accounts of the CU for operational and investment matters, handle customer/members servicing to Rome based and internationally based colleagues, as well to external customers (former IFAD Staff). Administer the internal cashbooks on daily basis to match with the Cash Ledgers, assist the Manager to carry out month-end bank reconciliation.
Furthermore, I provide guidance and alternative loan products to borrowers and processing their loan applications (under supervision and approval of my supervisor). Draft outgoing communications and promote CU activities on IFAD Intranet social features and in the CU website, preparation of CU standard financial documents.
As part of my active involvement in the process of the appointment of the new President of IFAD, I was tasked with:
- Organization of all related internal meetings.
- Liaison with the Governing Council Bureau Representatives, drafting and providing them with documentation for the briefings.
- Preparation and monitoring of internal trackers relevant to the appointment process.
- Focal point for overtime claims of the task forces.
- Submission and follow up through Scriptoria of GC official documentation.
- Ensuring adequate treatment of sensitive and confidential materials.
-Filing the electronic (SharePoint) and hard copy documentation of the appointment related documents.
During my six-month assignment in the Member States and Protocol Office, I was responsible for:
- Provide assistance for protocol arrangements for official IFAD Governing Body meetings, prepare related protocol
programmes and schedules of events.
- Produce and issue invitations to high level capital and Rome-based Officials, monitor attendance, as well as liaise with
concerned divisions for protocol services.
- Draft diplomatic correspondence to Heads of State and Government, Governors and key Representatives of Member States for the signature of the President and the Secretary of IFAD.
- Request information and liaise with Embassies for meetings with high ranking officials.
- Prepare correspondence and Notes Verbales related to the President's official travels and attendance at conferences and meetings.
- Closely attend external clients (Ministries, Embassies and International Organizations) to facilitate meetings of dignitaries with the President and the Vice-President of IFAD both at Headquarters and during official travels.
- Assist the Protocol Office in receiving and accompanying dignitaries visiting the President and Vice-President of IFAD.
- Review and update information on Member States and their Representatives available in IFAD's corporate database: Contact Information Available Online (CIAO), in close collaboration with Embassies, Permanent Representations and Ministries.
