  • Book, cancel and reschedule patient appointments, using various ways of contact, speaking with patients via phone and email.
  • Manage patient records and documentation in accordance to HFEA guidelines and protecting patient confidentiality.
  • Uploading patient forms onto various systems for patients to complete and liaising with patients on how to use these systems and guiding them through processes.
  • Answering calls from patients and other organisations with queries and helping with these and if not able myself making sure I escalate to the relevant person. I also monitor our email inbox dealing with queries, again from patients, colleuges, GPs and hospitals.

  • Sending letters to patients as well as using doctor doctor texting service.
  • Locate patient records and track them to relevant places after use, placing patient notes into our records library in alphabetical order.
  • Cover duties on reception when this is required, greeting patients and booking them in as arrived on electronic system.
  • Use of word, excel spreadsheets and our own electronic patient systems.
  • Streamline communication between departments to facilitate timely responses to patient inquiries.
  • Issue invoices to patients and keeping records of when patients are to make payment, confirming when this has been done on our spreadsheet.
