  • This role began as a project manager role where I developed the project initiation plan, which lead to successful award of funding from NHS England. This included, supporting development of project objectives with senior leadership and presenting the plan to Trust board to get agreement for the project to go ahead.
  • Led multi-disciplinary teams through all project phases to achieve go live of multiple systems within planned timeline. This included supporting 1500 Nurses, Midwives and their support staff to go live on two new systems in just 12 weeks.
  • Manage issue resolution with suppliers and stakeholders to ensure smooth implementation.
  • Identified risks and implemented mitigation strategies for secure project outcomes.
  • Developed clear project brand to build a positive image for the changes and create a strong reputation for the project.
  • The role then evolved to workforce systems manager role where I continue to foster a positive work environment, for my team and the teams that we work with.
  • Work with suppliers to ensure contractual obligations are met ahead of agreed service delivery.
  • Implement organisational policies for smooth service delivery.
  • Work with teams at all levels across the trust to ensure that new system functionality is rolled out in a simple way to minimise resistance to the change. Leading to better efficiency within departments and savings on temporary staffing spend.

  • This project involved unification of HR processes across 6 NHS organisations within Surrey Heartlands. As part of this project I had to create workstreams and objectives for the project, manage stakeholders and work with them to implement the changes to processes within their organisations.
  • I supported them to present proposed changes to their senior teams so they could be agreed and implemented.

  • Mitigating potential risks effectively, safeguarding against possible pitfalls within projects.

My main responsibility in this role was to coordinate and administer local and national projects for Junior Doctor recruitment on behalf of KSS and LASE Deanery's. I did this by managing the following processes within the recruitment team for local and national recruitment, including Core Surgery Recruitment which saw 1500 trainees interviewed across a 10 day period.

  • Managing the project plan which clearly outlines responsibilities and accountabilities for each part of the recruitment process.
  • Ensure that all recruitment activities are in line with company guidance, suggesting changes to ensure compliance.
  • Manage the budget for each recruitment event ensuring financial balance and identifying areas of risk and potential cost pressures.
  • Work closely with post managers for each recruitment activity including assisting them with recruitment of specialised panel members. Liaising and communicating with them in a timely manner to ensure attendance.
  • Implement policies for own work and propose policy or service changes which may impact beyond own area of activity.
  • Work with national recruitment system suppliers to ensure they support recruitment requirements.
  • Manage recruitment related administrative tasks within a team of recruitment administrators, including drafting of advertisements, pre-employment checks, shortlisting, interview questions, expenses, preparation and communications to applicants.
  • Producing reports in a timely manner when requested by stakeholders.
  • Keep up to date with changes to employment legislation and ensure that practices reflect changes.
  • Be the first point of contact for all recruitment related queries, managing recruitment inboxes.

Junior Doctor Recruitment Manager

  • Receive the details from the lead recruiter on the doctors who will fill the vacancies.
  • Complete all of the doctors pre-employment clearances. Including DBS clearance, Occupational health clearance and right to work information.
  • Arrange the induction day for the doctor's first day within the NHS Trust.
  • Advertise any vacancies, shortlisting and arranging and supporting interview process for these to ensure that they have been filled by the start date.
  • Prepare contracts for the employees to ensure they are ready to be signed on their first day.
  • Enter the personal information in to the electronic HR system.
  • Complete the payroll paperwork for the payroll department.

Generalist HR

  • Manage day to day staffing issues in relation to the 250 junior doctors employed by the Trust. Keeping HR records and right to work information up to date.
  • Manage the part time hours, pay and terms and conditions.
  • Manage the two medical staffing assistants to ensure that they are working at their optimum to meet the needs of the department.
  • Provide comprehensive advice, support and assistance to managers, heads of department and medical staff on a range of HR issues, including the implementation and interpretation of HR policies, Terms and Conditions of service, to ensure best practice and compliance with statutory legislation.
  • Work with managers when there are disciplinary hearings and support the employee and the manager to ensure that are dealt with in line with the company polices.
  • Ensuring that mandatory training for all employees is up to date. When training needs to be refreshed ensure training systems can be accessed or face to face sessions can be booked.

This aspect of the role includes keeping the trainees up to date with the program; ensuring rooms are booked for the teaching; summarising feedback and sending it out to external speakers; keeping a check on the GP Registrars progress though their final year of training using the portfolio database.
  • Coordinating the local faculty groups within the hospital. Arranging the meetings and taking the minutes. This means working very closely with the managers for these specialities to ensure that actions points are met.
  • Management of various projects within the postgraduate department including the setting up of the interface with ESR and Intrepid and organisation of the yearly LEP visits.
  • Production of the Postgraduate centres quarterly newsletter.
