Understanding of import Customs and tax regulations and requirements for shipping artworks internationally and working closely with shipping partner to coordinate shipments, packing and customs clearance of artworks. Create, monitor, and manage ticketing platforms relating to partnerships and member’s events. Maintain and update Event strategy and partnerships meeting agendas & minutes. Liaise with Events & Marketing teams to plan and project manage Cromwell Place Partnerships events. Management of Partnerships event calendars, reserving and confirming dates with partners and internal platforms. Oversee and support the Partnerships Manager on business getting and Partners deliverables.
Work on non-systematic terms following the auction and managing complex settlement requirements. Manage sellers and their property in accordance with sale administration calendars (Auction, and Private Sales). Collaborating with Business Manager/Director with regards to guarantees and irrevocable bids, making sure all due diligence requirements are met. Arranging for property to be authenticated, where necessary, in line with various committee deadlines. Communicating with clients, shipping coordinators and Sotheby’s Regional Offices to facilitate inbound shipments, obtain export licenses and arrange customs clearance in line with sale deadlines. Liaise with Legal, Compliance, Tax and Business Managers regarding pre-sale complex consignments and contracts. Coordinating Travelling exhibitions in partnership with Specialist department, Pre-Sale Shipping team and Business Director. Work with priority and high profile clients and assist in managing their property for auction or storage. Work with key department stakeholders to ensure that outputs are delivered to the highest quality possible. Partner closely with Post-Sale Experience Managers to ensure appropriate handoff and completion of the client journey.
Provide excellent customer service to clients, shippers, staff, and contractors. Liaise with Sotheby’s Shipping and Post Sale Services to raise relevant paperwork for all collections. Ensuring warehouse procedures for correct releasing and receiving property. Deal with enquiries from other departments, visitors, clients through email, phone and at the counter. Diary management and administrative support. File all paperwork efficiently and keep all records up to date. Dealing with private and confidential information. Update and use Inventory location systems. Prepare sale and property transfer paperwork.
