As a Business Change Facilitator for the Enterprise wide Clinical Applications program's, I both manage and support various project ranging in complexity and scope. I have been given the freedom and responsibility to manage my own projects on various occasions and have personally managed sections of larger projects, which has rapidly enhanced my project exposure and knowledge.

My most recent notable achievements include independent successful delivery of 2 small projects, detailed support of a 12 month Project impacting 3000 NHS staff, and Go Live support of the rollout of a system impacting 7000 staff.

Key Responsibilities:

  • Oversee coordination and monitoring of Project Schedules, resources, equipment and information.
  • Manage and oversee planning, staging and implementation of medium to small IT application projects for NHS clinical Departments.
  • Support Larger Trust Wide Projects from initiation through to Go-Live and Post Go-Live Support

Project Change Co-Ordinator

As a Project Change Control Co-Ordinator, my role is to manage and maintain the Change Control Process, which processes intended changes to projects for approval and delivery. Currently fulfilling a project role within the Enterprise Wide Applications Programme.

Key Responsibilities:

  • Oversee coordination and monitoring of Project Schedules, resources, equipment and information.
  • Coordinating change activities and following and enforcing Change Management Process.
  • Analysing configuration management documentation to assess change suitability and risk.
  • Liaise with Project Managers and change Agent to identify and define project requirements, scope and Objectives.
  • Attend Weekly Management meetings to report upon milestone progress and identify key risks and issues regarding project milestones to the team
  • Collate project Level performance information to produce detailed reports for Divisional and Programme Boards
  • Participating in various project Teams to track key risks/issues and support project delivery and change.
  • Continuously improve processes and systems, including both internal and external systems, to streamline and increase productivity.

Key Achievements

As part of this role, I assessed project change for suitability and importance from sending requests out to staff as an emergency or to decline as business as usual, and communicated the impact of the change, ensuring that staff are aware of their responsibilities for change management, keeping them up to date in the transitional period. There are many steps to the change control process, and as the soul Co-Ordinator for this, I was the point of contact for this process and have received a lot of positive project exposure from this.

During this time I was also brought onto the Project Management Team to help co-ordinate and support the implementation of a new system, rolled out to 7000 staff both clinical and non-clinical. I was fortunate enough to be involved in both the definition and deployment stages of this project. Here I utilised my communication and interpersonal skills to manage relationships with key stakeholders, both internal and external, to ensure a smooth handover of the new system.

My role also included a responsibility to manage the System Managers database and relevant meetings, where I create the agenda, schedule the meeting, prepare and send papers out in a timely manner, and attend to ensure the accurate recording of minutes, notes and actions.

I looked to continuously improve my surroundings, and have made many suggestions for improvement of processes, systems and workflows to the benefit of the Team. Most notably, I made significant changes to the Cyber Alert and Change management processes by updating process maps and improving the information that staff receive when submitting Change Requests and cyber alerts.

Business Support to the Company Secretary

The Company Secretary Team is responsible for providing administrative support to the Board of Directors as well as completing assigned compliance projects and large pieces of work for the Chief Executive and Chair of the Trust.

My role as the Business Support Officer for the team allowed me to gain a varied experience in project and administrative support, where I was responsible for ensuring that projects were adequately planned, resourced and delivered within time and budget requirements.

Have regularly been given the freedom to undertake projects and bespoke pieces of work individually, for example, sourced and tested an agenda and minute taking software package, which has ultimately been implemented by the Trust Board and Executive Team. Arranged the two Annual General Meeting conferences' for 180+ delegates (Staff and Patients), which included identifying a venue, sourcing equipment, preparing materials and ensuring the smooth running of the event.

Key Responsibilities:

  • Often facilitated project meetings, maintained and update project progress reports via Excel#
  • Demonstrated advanced use of Office 365 and Microsoft Windows Packages, as well as project management tools including; Gantt Charts, Action Trackers and Risk Assessments and registers.
  • Supported new projects for members of the Board and Executive Team. Creating relevant project plans and schedules, defining project deliverables, arranging and attending project progress meetings and undertaking extensive pre-project checks, including issue and risk assessments.
  • Utilising all Microsoft Office packages when producing emails, reports, updates, presentations, spreadsheets and interactive training, as well as assisting in the creation of meeting agendas, taking formal and informal minutes, managing the executive Teams' calendars and the Company Secretary Team shared inbox.
  • Soul administrator for the Council of Governor's meetings and its sub-group meetings, including the Auditor Appointment Committee and the Nominations Committee. Here I had a responsibility to create the agenda, schedule the meeting, prepare and send papers out in a timely manner, and attend to ensure the accurate recording of minutes, notes and actions, to be populated into a report to be shared with the Governors.
  • Developed strong working relationships with key stakeholders internal and external stakeholders, including representatives from the Care Quality Commission, External Auditors and the Morecambe Bay Clinical Commissioning Group to develop and implement a series of successful recommendations to our department.
  • managed sections of the NICHE investigation into Urology services at UHMB. Here I created and managed spreadsheets and databases, collected and archived paper and electronic files and created and presented a training package for future support officers to follow, of which I constructed and delivered an effective presentation to 28 staff who continued on with the project following my departure from the Trust.
